Start with the visit, not the department.

An appointment moves through several people’s working day. The front desk prepares for arrival, the clinician reviews the record, and the team records payment at checkout. Treating those moments as one workflow makes the handoffs easier to describe and review.

Make the next step visible.

For each stage, define the information needed, the person responsible, and the signal that the stage is complete. A scheduled appointment and a checked-in patient are different states. A completed visit and a recorded payment are different states, too.

Keep clinical and operational responsibilities clear.

Connected work does not mean identical access. Each person needs the information appropriate to their role. Review where a handoff requires a message and where a clear status is enough.

A practical team exercise.

Walk through one fictional visit together. Ask what the patient does, what the front desk sees, what the clinician needs, and how checkout is recorded. Note every place where someone has to ask another person what happens next. Those are useful starting points for improving the workflow.
